CapExPro

Terms of service

Last updated November 4, 2026

These terms are an agreement between you and Prosorus Properties LLC ("we"), which runs CapExPro. By creating an account you accept them and the Privacy policy.

Early days

CapExPro is new and still growing.

  • Features will change. There may be bugs, downtime or, rarely, lost data. Keep your own copy of anything important, such as a printed or saved report.
  • Billing starts on a date we announce by email. Until then nothing is charged. If your account was made before that date, we email you at least 30 days before anything can be charged, and you only pay if you choose to subscribe.
  • Beta testers keep their offer, as shown on their Billing page. Everyone else is billed as "Billing" below says.
  • We collect what the Privacy policy describes, including usage events, session replays and the feedback you send. We may ask you for feedback by email.
  • You can leave at any time. Stop using CapExPro, and delete your account in Account › Profile or by emailing us.

What CapExPro is, and isn't

CapExPro is a planning tool. It estimates when the components of your rental properties may need replacing and how much to set aside, from the costs, ages and life expectancies you enter, which are your estimates, and the typical costs we suggest. We don't check what you enter, and the costs we suggest are typical figures, not precise quotes. We don't control inflation or the cost of materials and workmanship, so all of these are estimates, based on what we know at the time. Keeping a suggested cost is your choice, and it then counts as one of your estimates.

Its forecasts and reports are planning estimates, not a property inspection, property condition assessment, appraisal, reserve study prepared by a credentialed reserve specialist, or financial, tax or legal advice. Actual costs and failures will differ. Decisions you make with them are yours; for important ones, check with a qualified professional. If you share a report, you are responsible for what it says.

Your account

  • You must be 18 or older and give a real email address.
  • Keep your password safe. You are responsible for what happens in your account.
  • One account is for one landlord or business; don't share your sign-in.

Billing

Once billing is on:

  • Free trial. New accounts start with a free trial. Its length and how many properties it covers are shown on the Billing page. No card is needed for the trial.
  • Subscription. After the trial you pay per property, monthly or yearly. The price, with the tiers that make extra properties cheaper, is shown before you pay. Sales tax is added where it applies. Optional add-ons, such as PRO, are priced separately and shown before you buy.
  • Automatic renewal. Stripe charges your card at the start of each month or year until you cancel. Each payment covers a number of property slots for that month or year. A yearly subscription gets a reminder email before it renews.
  • Adding and removing properties. Adding a property while a slot you've paid for is free costs nothing. Adding one beyond the slots you've paid for is charged for the rest of the period, by the day. On a monthly plan up to two of these are charged with your next payment, and adding a third charges all three straight away; on a yearly plan each is charged straight away. A property charged straight away is added once the payment goes through. Removing a property takes effect at the end of the period you've paid for: its slot stays paid until then, with no refund or credit, and each renewal charges only for the properties active at that time.
  • Cancelling. Cancel at any time in Manage billing. Your subscription runs to the end of the period you've paid for. Removing an add-on such as PRO works the same way: it stays on until the end of the period you've paid for. We don't refund part of a period, unless the law requires it. Properties added and not charged yet are charged when the subscription ends, or straight away if it ends early (for instance when you delete your account).
  • One free trial. The free trial is once per landlord. If you've had one before, with the same email address or the same card, a new account starts without one.
  • Failed payments. If a payment fails, Stripe tries again for about two weeks. For 14 days from the first failed payment everything keeps working, and you can export your data as CSV files from your account.
  • When your subscription ends. When a trial ends without a subscription, a cancelled subscription reaches the end of its paid period, or a payment is still failing after 14 days, your account becomes dormant: you can sign in and see the list of your properties, but not open them, make reports, export or change anything. Subscribing again brings everything back as you left it.
  • Dormant accounts are deleted. A dormant account and all its data are deleted 14 months after it became dormant. If you pay monthly and cancel, it's deleted 14 days after the end of the period you've paid for. We email you first: 90, 30 and 7 days before, or, for a cancelled monthly subscription, when you cancel and 7 days and 1 day before. Deletion can't be undone.
  • Price changes. We'll email you at least 30 days before a new price applies to you.

Your data

What you enter is yours. You let us store and process it to run CapExPro, and to use it as the Privacy policy describes, such as totals across many accounts that never show one account's figures. You can delete it at any time.

Acceptable use

Please don't:

  • break the law with CapExPro, or use it to mislead lenders, buyers, insurers or anyone else;
  • try to get into other people's accounts, the admin console, or parts of the service you weren't given;
  • probe, overload, scrape or copy the service, or get around its limits;
  • resell access, or upload malware or files you have no right to share;
  • enter other people's sensitive personal information, such as tenants' Social Security or bank numbers.

Claims caused by you

If someone makes a claim against us because you broke these terms, or because of a report you shared, you cover our resulting costs, including reasonable legal fees.

Ending

You can stop using CapExPro and delete your account at any time. We may suspend or close an account that breaks these terms or isn't paid for, telling you why when we can. If we ever shut CapExPro down, we'll give you at least 30 days' notice to save your reports.

No guarantees

We work to keep CapExPro accurate and available, but it is provided "as is", without warranties. As far as the law allows, we aren't liable for indirect or consequential losses, or for decisions made using its estimates, including the costs it suggests, and our total liability is limited to what you paid us in the 12 months before the claim, or $100, whichever is greater.

Disputes

Texas law governs these terms. Any dispute goes to the courts of Williamson County, Texas, except that either of us can always take a claim to small claims court instead. There is no arbitration.

Changes to these terms

We may update these terms. We'll post changes here, and email you before an important change takes effect. Using CapExPro after that means you accept the new terms.
